Part-Time Administrative Assistant

Reports to: Destiny Watson (CEO)
Position Status: Part-Time 
Location: 2218 Hutchison Rd, Flossmoor, IL, 60422
Compensation: $15/hour
Time Commitment: 20 hours per week, January ASAP - June 30, 2023. Flexible from 9 am - 5 pm, with occasional evenings and weekends. 

Organizational Background
Founded in 2014, You Matter 2 provides South Suburban youth and families with opportunities to develop leaders and engage communities through exposure to new experiences, building connections, and highlighting cultural heritage. Each year, You Matter 2 provides over 1,000 youth with holistic, out-of-school support, including afterschool and summer learning programs, and experiential learning through partnerships. The organization is in a transition period, growing to become the go-to youth and community serving organization across the Chicago Southland. Our staff is a diverse collection of passionate individuals, committed to social justice, trauma-informed care, inclusion, equity, and anti-racist ideologies, and helping youth realize their full potential.

Job Summary
The Administrative Assistant provide administrative support to all staff to support the mission of You Matter 2 and represent its values when interacting with the community. This position is a key link in supporting the efficient and smooth day-to-day operations of the organization.  They are responsible for basic office support, including reception, maintaining office inventory and related orders, managing calendars, handling mail, and composing letters and other documents.  This role will also facilitate special event registration and execution, and may oversee organizational databases such as mailing lists, and also perform light accounting functions. 

Essential Functions
  1. Managing phone calls, emails, and mail correspondence
  2. Prepares, processes, delivers, and picks up mail
  3. Assist with onboarding volunteers
  4. Managing donor relations and donation requests
  5. Reserves space and meals for staff, board, and youth program events 
  6. Assist with sending invoices and book keeping
  7. Manage social media accounts and website calendars
  8. Oversees and maintains the physical office space
  9. Ordering and organization of office supplies
  10. Database management (e.g. updating new contact information, periodic audits to ensure accuracy of the database, takes the lead on all donation and membership payment processing, including data entry into Salesforce including checks and online payments, and sending out acknowledgement letters)
  11. Prospect research (donors, grants, foundations, sponsors)
  12. Other administrative, clerical, and project duties as needed

Work Environment
  1. Ability to work hybrid with a results driven approach, responsiveness in a timely manner to supervisors, staff, and external stakeholders.
  2. Supervise and work with volunteers
  3. Dedicated internet and phone access.
  4. Ability to travel periodically to events and schools representing the organization.

Qualifications and Experience:
  1. 2 years work experience with preference given to those with nonprofit experience. 
  2. Excellent customer service skills
  3. Outstanding verbal/written communication skills.
  4. Proficiency in Google Drive (Docs, Sheets, Slides, Forms, etc.) is required. Experience with MailChimp and Salesforce preferred.
  5. A deep passion for working with youth and families.
  6. A strong sense of teamwork, leadership skills, and project management skills.
  7. Personal qualities of integrity, emotional maturity, and credibility; a demonstrated history of using good judgment.
  8. Some moderate lifting (up to 25 pounds) may be required on an occasional basis.
